An enquiry about a date does not constitute a confirmed booking.
A booking will only be regarded as confirmed when:
- the Venue has confirmed that the requested date and event are acceptable;
- the Hirer has provided all information reasonably requested by the Venue;
- the Hirer has accepted these Terms of Hire and any separate written hire agreement;
- the required £1,000 Booking Deposit has been received; and
- the Venue has issued confirmation of the booking.
No date will be treated as secured merely because it has been discussed verbally or by email.
3. Booking Deposit
A £1,000 Booking Deposit is required to secure the agreed event date.
The booking date will not be secured until the Booking Deposit has been received and the Venue has confirmed the booking.
Unless otherwise agreed in writing, the Booking Deposit will be applied towards the total hire charge.
If the Hirer cancels the booking, any refund or retention of the Booking Deposit will be considered in accordance with the cancellation provisions in these Terms and applicable law.
If the Venue is unable to honour a confirmed booking for reasons within its reasonable control, any sums paid for services that cannot be provided will be refunded as appropriate.
4. Security / Damage Deposit
A separate £1,000 Security/Damage Deposit is required for each booking.
The Security/Damage Deposit is held against, among other things:
- damage to the Venue;
- damage to fixtures, fittings or equipment;
- damage caused by guests, contractors or suppliers;
- excessive cleaning;
- unauthorised overtime;
- breach of the Venue’s rules;
- removal of Venue property;
- disposal of excessive waste;
- damage arising from decorations;
- additional costs reasonably incurred as a result of the Hirer’s event; and
- other sums properly due under the hire agreement.
The Security/Damage Deposit is separate from the Booking Deposit and hire fee.
Subject to inspection of the Venue after the Event, the unused balance of the Security/Damage Deposit will be returned to the Hirer.
Where deductions are required, the Venue may provide details of the amounts deducted and the reasons for those deductions.
If the cost of damage, cleaning, overtime or other loss exceeds the £1,000 Security/Damage Deposit, the Hirer will remain responsible for the additional reasonable costs.
5. Hire Charges and Final Balance

Party Hall (Olasunbo Hall) – £300
The total hire fee will be agreed with the Hirer before the Event.
Any outstanding balance of the agreed hire charge must be paid in full no later than 72 hours before the Event.
The Venue may also require the Security/Damage Deposit and any other agreed charges to be paid before access to the Venue is granted.
If the outstanding balance has not been received by the deadline, the Venue reserves the right, subject to applicable law and the circumstances, to withhold access to the Venue or treat the booking as not ready to proceed.
The Hirer should contact the Venue immediately if there is any issue affecting payment.

A £300 Cleaning Charge applies to the hire of the Venue unless the Venue expressly agrees otherwise in writing.
The cleaning charge covers normal cleaning following an Event.
It does not cover excessive cleaning, specialist cleaning, stain removal, removal of excessive rubbish, damage, or cleaning required because these Terms have been breached.
Additional reasonable cleaning costs may be deducted from the Security/Damage Deposit where necessary.

The Hirer is responsible for informing all guests, suppliers and contractors of this requirement before the Event.
A serious breach of the no-alcohol policy may result in the Event being stopped or individuals being required to leave the Venue.
Any action taken will be subject to safety considerations, the circumstances at the time and applicable law.
11. External Caterers
External caterers are permitted.

The Hirer must not assume that access will be available before the agreed start time.
Decorators, caterers, DJs and other suppliers should be given the correct access and departure times by the Hirer.

The Hirer and guests are responsible for their own belongings.
The Venue does not accept responsibility for loss, theft or damage to personal belongings except where liability arises under law and cannot lawfully be excluded.
Valuable items should not be left unattended.
Any lost property found after an Event may be retained for a reasonable period before disposal.
27. Vehicles and Parking
Any parking or vehicle arrangements are subject to local restrictions and any specific instructions given by the Venue.
The Hirer and guests remain responsible for checking applicable parking rules, charges and restrictions.
No representation about private or guaranteed parking should be assumed unless expressly confirmed by the Venue in writing.
28. Cancellation by the Hirer
If the Hirer wishes to cancel a confirmed booking, notice should be given to the Venue as soon as possible by telephone and confirmed in writing by email.
The Venue may retain or deduct from sums already paid an amount that reasonably reflects losses arising from the cancellation, subject to the circumstances and applicable law.
Relevant factors may include:
- how much notice was given;
- whether the date can reasonably be rebooked;
- administrative costs already incurred;
- services already provided;
- commitments made to third parties; and
- other reasonable losses resulting from the cancellation.
The Venue will not seek to impose a cancellation charge that it is not legally entitled to recover.
Where appropriate, the parties may agree to transfer a booking to another available date.
Any transfer is subject to availability and written agreement.
29. Cancellation by the Venue
The Venue may cancel or terminate a booking where it is reasonably necessary because of:
- serious breach of these Terms;

- unsafe or unlawful proposed activities;
- false or materially misleading booking information;
- circumstances making the Venue unsafe or unavailable;
- emergency circumstances;
- legal or regulatory requirements; or
- events beyond the Venue’s reasonable control.
If the Venue cancels for reasons within its reasonable control and not because of a breach by the Hirer, payments for services that cannot be provided will be dealt with fairly and in accordance with applicable law.

- major structural failure;
- government restrictions;
- civil emergencies;
- severe utility failure;
- extreme weather;

The Venue is not responsible for losses arising solely from independent suppliers selected and contracted directly by the Hirer.
Nothing in these Terms affects any statutory rights that cannot lawfully be excluded or restricted.
37. Insurance
The Venue may require the Hirer or certain external contractors to maintain suitable insurance where reasonably appropriate for the type of Event or activity involved.
This may particularly apply to professional caterers, entertainment providers, equipment suppliers or other commercial contractors.
